Delegation · Pro feature

Let your assistant send for signature. Under your name, without your password.

Your assistant signs in to their own Easy Sign account, switches to yours and sends from your templates. Every signing email from Easy Sign shows your name, and the signed copies stay in your Documents.

Included in Pro: CA$9/month or CA$79/year. Your assistants don’t need Pro: a free account is enough.

Set it up in 3 steps

You need Easy Sign Pro. Each assistant needs their own Easy Sign account.

  1. Step 1Invite your assistant

    about 1 min
    1. 1.1

Open Delegation in the sidebar (on smaller screens, it’s under More).

    2. 1.2

Under Your Assistants, enter your assistant’s email and click Invite. You can have up to 5.

What if they don’t have an account yet?

They sign up for a free Easy Sign account first. Then you invite the email address they signed up with.

  2. Step 2Give them the 4-digit code

    about 1 min
    1. 2.1

You’ll see a pairing code. Tell it to your assistant in person, by phone or by message. It’s valid for 24 hours and never sent by email.

    2. 2.2

Your assistant gets an email, signs in and opens Delegation. Under Pending Invitations, they enter the code and click Approve.

Or your assistant can ask first

In Delegation, under Acting on Behalf of, they enter your email and click Send Request. They get the pairing code to give you, and you enter it to approve.

  3. Step 3They switch to your account

    a few seconds
    1. 3.1

Your assistant opens the menu under their avatar and picks your name under Switch Account.

    2. 3.2

An amber Acting as line shows whose account they’re in. Your documents, templates and recipients are all there.

    How do they switch back?

From the same menu: Personal Account takes them back to their own account.

What your clients see

Your assistant does the sending. Everything your clients see comes from you.

  • The signing email says you requested their signature, and that Easy Sign sent it on your behalf.
  • The signed copies are saved in your Documents, not in your assistant’s account.
  • When everyone has signed, you get the completion email as usual, and your assistant gets one too, so they know it’s done.

Why not just share your login?

Plenty of offices do. Here’s what changes when each assistant has their own sign-in.

  • Your password stays yours.

Assistants sign in to their own account, so you never hand your password out, or change it when someone leaves.

  • Billing stays with you.

While they work in your account, they can’t upgrade, change or cancel your plan.

  • Remove one person at a time.

Removing an assistant ends their access right away. Everyone else keeps working.

What it does, and doesn’t

Delegation is part of Easy Sign Pro.

What you get

  • Up to 5 assistants per account.
  • Each assistant uses their own Easy Sign account; a free account is enough.
  • A 4-digit pairing code, valid for 24 hours and never sent by email.
  • Your documents, templates and recipients, shared with your assistants.
  • What they send from your account uses your Pro plan, not theirs.

Not included

  • Separate permissions for each assistant: every assistant can see and send everything in your Documents, Templates and Recipients.
  • A label on each envelope showing which assistant sent it.
  • Letting an assistant upgrade, change or cancel your plan.

Who uses it

  • Real estate agents

Your assistant or transaction coordinator sends listing agreements and disclosures from your templates while you’re out with clients.

  • Accounting firms

An admin sends engagement letters and authorization forms under the partner’s name, all season long.

  • Small offices

Any office where documents go out under one person’s name, but someone else prepares and sends them.

Questions

  • Does my assistant need to pay?

No. A free Easy Sign account is enough. What they send from your account uses your Pro plan.

  • Can my assistant sign documents for me?

This feature is for sending. The people who sign are the signers you add to each envelope, and each one signs through their own link.

  • How many assistants can I have?

Up to 5 at a time. Invitations you’ve sent that are still waiting count too, so to add someone new, remove an assistant or withdraw an invitation first.

  • Can one assistant work for several people?

Yes. An assistant can accept invitations from more than one account owner and switch between their accounts from the same menu.

  • What happens if my Pro subscription ends?

Your assistants can’t work in your account while you’re not on Pro. When you subscribe again, they can switch to your account as before, with no new invitation.

  • Do my clients know an assistant sent it?

Not in Easy Sign’s emails. The signing email shows your name, and your assistant’s name isn’t on it. If your assistant copies a signing link and sends it from their own email, your client will see who sent that email.
